Coventry City Council's Publication Scheme

Coventry City Council is committed to making as much information as possible available to customers. Here you can find information about Coventry City Council's publication scheme and how you can request access documents, and details of any charges. The attached guide "Dealing with Freedom of Information Requests at Coventry City Council Reception Points" shows frontline reception staff how to identify and action Freedom of Information requests.


Coventry City Council's Publication Scheme is in two parts:

Information classes list – this shows the classes of information that we will routinely make available.

Publications databank – this lists the classes together with the name of documents and publications currently available, cover price if any and name and phone number to call to for a copy.

Both the information classes lists and the publications databank are structured into twelve sections, closely reflecting the structure of the City Council's website. The publications databank (full list) for each category is available to download from each category page. 

How to obtain a document on the Publication Scheme

  • If you know the type of information you are looking for, try the Classes List.
  • If you are looking for a particular publication, look at the Publications Databank for that category.
  • Find the publication title or description and call the contact name listed alongside.
  • The contact should be able to send you a copy either by post or by e-mail, if a copy is already available on our website or a linked website, such as The Coventry Partnership, they may help you locate the document on the web.

Charges for material on the Publication Scheme

We aim to make information available free of charge wherever possible.

  • Chargeable publications will be listed in the publication scheme; other items in publication scheme are available free-of-charge.
  • Material on website – no charge if you download your own materials. Internet Access is provided at community libraries, printing is chargeable.
  • For material that is not listed on publication scheme, charges may apply depending on the amount of work involved. We will normally make a minimal charge (approx 5p per sheet of A4) for photocopying and will also charge at cost price for computer disks, audio or video tape used.

How to make a request for information under FOI

Where information is not currently listed on the Publication Scheme, you will still be able to use the downloadable form at the foot of this web page.  By developing this scheme, we intend to make as much information available as possible. However, we must also make sure that certain information is appropriately restricted and protected.

Copyright

The supply of documents to you by Coventry City Council (documents released under Freedom of Information Act 2000 and/or the Environmental Information Regulations 2005) is strictly for your personal information only. It does not give you a right to re-use them in a way that would infringe or breach that copyright, by making copies, publishing and issuing copies to the public or to any other person.

Brief extracts of any of the material may be reproduced without our permission, under the fair dealing provisions of the Copyright, Designs and Patents Act 1988 (sections 29 and 30) for the purposes of research for non-commercial purposes, private study, criticism, review and news reporting, subject to an acknowledgement of oursleves as the copyright owner. However, wider re-use requires our express permission in writing.

Please note that most of the information that you request or download is owned by Coventry City Council and subject to copyright protection. Under the Re-use of Public Sector Information 2005 Regulations you are free to use this information for your own use or for the purposes of news reporting. However, any other type of of re-use under the regulations, for example; publication of the information or circulation to the public, will require permission of the copyright owner and may be subject to terms and conditions. For documents where the copyright does not belong to Coventry City Council you will need to apply separately to the copyright holder.

How we make information available

Information listed in the scheme can be made available in a number of ways for details of which options are available

  • Telephone - each document contains a telephone number for you to call if you require a copy of the document.
  • Website - Not all documents are currently available electronically on the website, please telephone the number next to the document and they will arrange for it to be e-mailed or posted to you depending on the format available and receipt of any fee payable. Please note that when the link is to another organisation's website, provision of the information is the responsibility of the organisation and not of Coventry City Council.
  • By post - information will be posted on request, following receipt of any fee applicable.  Please send your request, clearly stating which document you require on the downloadable form foot of this page and send to the Freedom of Information Officer, Coventry City Council, Council House, Coventry CV1 5RR.
  • By e-mail – please complete the downloadable form at the foot of this document and e-mail to: Infogov@coventry.gov.uk  
  • Other languages:  some documents contained in the publication scheme can be requested in languages other than English, large print and Braille.
