Preparing for the new Incident Reporting System

The new accident and incident reporting system is scheduled to go live next week.

In the lead up to it going live Health and Safety Services have provided advice for managers in what they need to do ahead of the implementation, to ensure a smooth transition to the new system. Managers should review the following advice and guidance to assist them before the go live date:

Going Live

The new incident reporting system will go live on Monday 1st April and links to the system will be available on the intranet from 11am that morning.

Incident Reports

Whilst the Health and Safety team will be downloading the existing data to meet the legal requirements for keeping records. Managers who need any reports or incident record information for upcoming management team meetings, or to progress existing and ongoing incidents should download these reports before 31st March, when the system will be switched off. This will ease the burden of having to try and search downloaded data to identify incident information after the new system is implemented.

Incident Logging and Completing Incident Investigations

Should you have an incidents that have not been put onto SHE Assure by tomorrow, Thursday 28th March, please hold off putting these on and put them onto the new incident reporting system when it goes live. If any of these incidents are serious such as a work related fatality or a major injury, record the details and contact Health and Safety Services who will be able to assist you in any recording and reporting. 

If there are any investigations that you are currently working on, try to complete these on SHE assure if possible before 31st March. If you are unable to complete your investigation, record the investigation findings and any other relevant details on a word document and send it, once completed to Health and Safety Services.

A number of 30 minute short information sessions on using the system are still available for managers as follows:-

Further guidance for Managers on using the new system, will be available in the help section of the incident reporting system once it is live.
