Work Related Learning privacy notice

Coventry City Council Complies with the Data Protection Act and the GDPR and is registered with the Information Commissioners Office (ICO) as a Data Controller.

This Privacy Notice explains how personal information is going to be used, what for, who it will be shared with and why.

Why we collect and use personal information about you

We collect and hold personal information relating to work related learning. We process personal data because it is necessary to comply with our contractual obligation with the school to provide the work related services.

We use this information to:

  • Provide you with necessary and appropriate training
  • To pass on to your work related training provider to ensure all service users’ needs are met.
  • Ensure we can provide the information to your training provider for safeguarding and Health and Safety reasons
  • Help us to develop and improve our service
  • Complete statistical returns to Government departments

What personal data do we collect about you

We collect information from the school that submits an application on your behalf. We collect:

  • Your details (name/date of birth/address)
  • Your emergency contact details
  • Your medical information in order to ensure your safety within the workplace
  • Academic information (educational needs/ inclusion support)
  • Other Agency involvement.

Who we share your personal information with

We will share data with:

  • Work Related training provider in which you attend and any potential providers in which you apply.
  • Internal Coventry City Council Services such as:
    • Education Entitlement
    • SEN
    • Virtual School

How long will we keep your information

We will only keep your information for as long as we need to, so we can give you the service you need, unless we must keep it for legal/contractual reasons.

Your rights

You have the right to:

  1. Ask to see the personal information we hold about you (also known as a Subject Access Request)
  2. Ask us to change information we hold about you if it is wrong
  3. Ask us to delete the information we hold about you in certain circumstances.
  4. Ask us to limit the way we use your personal Information where possible.
  5. Question decisions made about you by a computer
  6. Complain to the Information Commissioner’s Office ( information below)

You have the right to submit a complaint if you are unhappy with the way your request is handled or disagree with a decision made by the council regarding your data. In these circumstances you can contact the Data Protection Team (DPO) and request a review of the decision.
