Coventry Adult Education Service (CAES) provides refunds under specific circumstances, primarily when the service cancels a course or when a learner experiences exceptional circumstances preventing them from attending. Refunds are not automatic and require a request with supporting evidence, especially for partial refunds. 

Circumstances for full refunds

  • Cancellation by CAES: If the Adult Education Service cancels a course due to insufficient enrolment or other reasons, learners who have paid will receive a full refund. 
  • Commencement of employment: If a learner secures employment that clashes with the course schedule, or if they become sick for an extended period, they may be eligible for a full refund upon providing evidence. 
  • Moving away: If a learner moves away from the area, a full refund may be granted. 

Circumstances for pro-rata refunds (partial refunds)

  • Exceptional circumstances: If a learner has to withdraw from a course for reasons beyond those listed above, they can request a pro-rata refund (a refund for the remaining portion of the course) in exceptional circumstances. This requires submitting a formal request to the appropriate education manager outlining the exceptional circumstances.
  • Misleading course information: If the course information was misleading or inaccurate, a refund may be considered under the Trades Description Act

How to request a refund

  1. Gather evidence: Collect any documents that support your refund request (e.g., employment contract, medical certificate, proof of address change). 
  2. Submit a request: Contact the Adult Education Service and inquire about the refund process. You may need to fill out a refund request form. 
  3. Provide evidence: Be prepared to provide evidence of the circumstances justifying the refund. 
  4. Contact the appropriate education manager: If you are seeking a pro-rata refund due to exceptional circumstances, you will need to contact the appropriate education manager for consideration. 

Important notes

  • Go CV+ users: Learners with Go CV+ status should ensure their account is fully validated before enrolling, as refunds will not be granted for failing to do so. 
  • Course materials: It's advisable not to purchase course materials or equipment until you are certain the course will run. 
  • Fees and funding: Coventry Adult Education Service courses may be partially or fully subsidized by the Education and Skills Funding Agency (ESFA)  or West Midlands Combined Authority (WMCA) . Eligibility criteria apply for these subsidies. 
  • Discretionary Learner Support Fund (dLSF): This fund can help with travel costs, material costs, childcare and in exception circumstances, course fees for those who meet specific eligibility criteria.
