Coventry City Council complies with the Data Protection Act and the UK GDPR and is registered with the Information Commissioner's Office (ICO) as a Data Controller. This Privacy Notice explains how personal information is going to be used, what for, who it will be shared with and why.
Why we collect and use Personal Data about you
We collect and hold personal information relating to your participation in the project to help us understand the help and support that you need. This could be anything relevant to you, including information about your family and your school.
We use this information to:
- Complete a full assessment of your risk and needs
- Provide you with necessary and appropriate services
- Help us to develop and improve our services
- Complete statistical returns to Government departments
Our Lawful basis for processing is Consent;
We process personal data because it is necessary to comply with our legal obligations under UK GDPR Article 6 subsection (a):
(a) Consent: you have given clear consent for us to process your personal data for a specific purpose, the Youth Justice Diversion project.
What information do we collect about you?
- Your name
- Your date of birth
- Your contact details
- Names and contact details of any family members
- We will talk to you about what’s been happening and why the Police think we can support you
- Information about your education – name of school, how often you attend, how your education is going
- Information about any other organisations/people that you might be working with (receiving services and/or support from)
Who we share your Personal Data with
We may share data with:
- West Midlands Police
- Health organisations
- Education providers
- Other internal Coventry City Council areas
- Other persons or agencies working with you and/or your family - for the purposes of this project
How long will we keep your information?
We will only keep your information for as long as we need to so we can give you the service you need, unless we must keep it for legal reasons. Depending on your circumstances we will either retain records until your 25th birthday, or if you are Looked After, have Special Educational Needs, or are Adopted, in which case we retain records until the end of the academic year in which your 31st birthday occurs.
Your Rights
You have the right to:
- Ask to see the personal information we hold about you
- Withdraw consent (see below)
- Ask us to change information we hold about you if it is wrong
- Ask us to delete the information we hold about you
- Ask us to limit the way we use your personal Information
- Ask for human intervention regarding decisions made about you by a computer
- Data portability (have your data transferred to another Authority)
- Complain to the Information Commissioner’s Office

Withdrawal of consent
Where personal data is processed on the basis of consent, you will have the right to withdraw that consent. However, Coventry City Council process personal data that it is necessary to do so in order to comply with our legal obligations and to enable us to perform tasks carried out in the public interest.
Complaints
You have the right to submit a complaint if you are unhappy with the way your request is handled or disagree with a decision made by the council regarding your data. In these circumstances, you can contact the Data Protection Team (DPO) and request a review of the decision. dpoteam@coventry.gov.uk
