This Privacy Notice explains how personal information is going to be used, what for, who it will be shared with and why.

Why we collect and use Personal Data about you

We collect and hold personal information relating to your participation in the Social Housing Decarbonisation Fund (SHDF) Wave 2, operated by Citizen Housing and Coventry City Council and run by the Department of Energy Security and Net Zero (ESNZ).

We use this information to:

  • Support the delivery, performance management and administration of SHDF Wave2
  • Provide evaluation and monitoring reporting to ESNZ and its research/evaluation and monitoring partners
  • Detect and report on fraud and multiple grant claims

We process personal data because it is necessary to comply with our legal obligations and our lawful basis is Public Task.

What information do we collect about you?

In order to deliver energy efficiency improvements, it is necessary for us to collect and hold the following personal information:

If you are a tenant

  • Name
  • Contact details
  • Address and details of the property receiving SHDF Wave 2.1 installations
  • Details about works installed at the property including, dates, type, size, funding origin, installer and cost
  • Expected energy, carbon and cost savings from the works

If you are an installer

  • Name
  • Contact details including address and email
  • Relevant accreditation and registration information
  • Details of SHDF installations delivered including cost and address
  • Whether directly contracted or sub-contracted to install SHDF installations

If you are a delivery partner in a project

  • Name and business contacts of social housing landlords and employees

Who we share your personal data with

We will share data with:

  • the Department for Energy Security and Net Zero (ESNZ),
  • its delivery, research and evaluation partners and contractors, and
  • their data processors Microsoft and Amazon Web Services.
  • Citizen Housing and their sub contractors - who are delivering the scheme

We will not normally share your information with organisations other than our partner organisations without your consent, however, there may be certain circumstances where we would share without consent such as where we are required to do so by
law, to safeguard public safety, and in risk of harm or emergency situations. Any information which is shared will only be shared on a need-to-know basis, with appropriate individuals. Only the minimum information for the purpose will be shared.

ESNZ will share your personal with its research and evaluation partners and other government departments.
ESNZ may undertake data matching between the SHDF Wave 2.1 data we share with them and other data sets to detect duel or duplicate funding.
ESNZ will also use data we share with them to seek your consent to process further Research Data, which is additional data provided by scheme participants to inform the evaluation of SHDF.

How long will we keep your information?

We will only keep your information for as long as we need to so we can give you the service you need unless we must keep it for legal reasons. We will store your personal data for a maximum of 7 years after the end of the scheme.

Your rights

You have the right to:

  1. Ask to see the personal information we hold about you
  2. Withdraw consent (see below)
  3. Ask us to change information we hold about you if it is wrong
  4. Ask us to delete the information we hold about you
  5. Ask us to limit the way we use your personal Information
  6. Ask for human intervention regarding decisions made about you by a computer
  7. Data portability (have your data transferred to another Authority)
  8. Complain to the Information Commissioner’s Office

Complaints

You have the right to submit a complaint if you are unhappy with the way your request is handled or disagree with a decision made by the council regarding your data. In these circumstances you can contact the Data Protection Team (DPO) and request a review of the decision. dpoteam@coventry.gov.uk
