How to book and cancel step-by-step

To book, you’ll need to take a few simple steps below (scroll down to see helpful videos as well).

Step 1: Get set-up to book (if you’ve booked HAF before you don’t need to do this again)

  • Set up a Coventry City Council My Account.  This will only take you a couple of minutes and all you need is an email address and a password of your choice to set it up. Go to Register now for My Account to do this now.
  • Add your child(ren) to the HAF booking system. You will add your child’s first name’s details, including their emergency contact details, HAF code (see top of the letter) and any additional information the activity providers will need to know. Go to Add a child to my account to do this.
  • If you don’t know where your HAF code is, fill out our Retrieve my HAF code form and a member of our team will get back to you within three working days. You may also ask at your child’s school who may be able to help. Alternatively, you can go to a Library or Family Hub or call 0808 5834 333 where a member of the Customer Contact Team will be able to help.

Step 2: Understand how HAF credits work

Coventry HAF has a credit approach. Each eligible child has an allocation of a total of 4 credits for the Christmas and Easter school holidays and 16 credits for the Summer school holiday. There are four things to look out for when making a booking:

  • Credits: Credits are dependent on each activity, normally one day is 1 credit
  • Booking pattern: Clubs are either available to book 1 day at a time or require you to book multiple days.
  • Supervision: Most activities require children only to attend, some activities are offered to younger siblings, and some require parents/carers to attend with children.
  • Coventry Experiences: These are special experiences that are limited on our booking system to one per eligible child.

All of the above information will be detailed in the activity brochure and web directory where bookings are made.

Step 3: Decide what to book

Head to Find and book Spring Fun 2024 activities and use our search engine to identify activities closest to your postcode with the option to book. Alternatively, browse over our activity brochure which details every club taking place.

Step 4: Book activities

  • Go to the HAF booking system and log in to your MyAccount by using the Login button.
  • Where children and young people have special educational needs and disabilities, please have a conversation with the organisation running the activities so they can make any adjustments.
  • Once you’ve booked you will receive a notification email. When you’ve had this you can be confident that your child is booked and they can then attend and enjoy the activity.

How to cancel a booking

We know that occasionally children won’t be able to attend the activities due to sickness or other unexpected reasons. Where this is the case it’s very important that you cancel the booking to enable other children to take up the activity.

To cancel a booking, please take these steps:

  • Log in to your account
  • Press "View or cancel a booking"
  • Select the child you wish to cancel a booking for and press "Next"
  • Select the pen and paper icon next to the booking you wish to cancel
  • Select "Yes please cancel this booking" and press "Update record"
  • Press "Submit"
