Handling of DBS Data
The Council is committed to ensuring that all information provided about an individual’s criminal convictions, including any information released in disclosures, is used fairly and is stored and handled appropriately and in accordance with relevant legislation. The Council complies with the DBS Code of Practice, including the correct handling and safekeeping of DBS certificate information. The Council also complies with its obligations under the Data Protection Act.
The Council uses an online disclosure system as an alternative to standard paper forms, allowing completion of a DBS application at any location with internet access. The eBulkPlus system is committed to Fair Processing principles ensuring personal information is only processed with an individual’s knowledge, only relevant information to producing a DBS certificate is collected and processed and personal information is only seen by those who need it to do their jobs.
The Recruitment and Onboarding team manage a positive referral log, using numbers in place of names so colleagues are not identifiable. The positive referral log is reviewed and updated following the DBS Panel meeting and is stored in a private folder on a password protected document, accessible to nominated staff within Recruitment and Onboarding team. Data is removed when colleagues move to a post that does not require a DBS check or if they leave the Council.
