Coventry City Council follows the Data Protection Act and the UK GDPR and is registered with the Information Commissioner’s Office (ICO) as a Data Controller.

This Privacy Notice explains how personal information is going to be used, what for, who it will be shared with and why.

Why do we collect and use Personal Data about you?

We collect and hold personal information about you, your education, and relationships from you completing the Edge of Care Questionnaire.

We use this information:

  • So, we can understand you better.
  • To make sure we provide you with the best experiences and activities possible.
  • To help us know what you are good at
  • To help us to know what you might need help with.

We process this personal data based on your consent for the specific purposes outlined above.

What information do we collect about you?

  • Your name
  • Your relationship with your care giver, siblings, and friends
  • Your feelings
  • Your safety at home and community
  • Your education.
  • Your confidence levels.

Who we share your personal Data with

We will share data with:

  • West Midlands Police (If any safeguarding concerns)
  • Health organisations
  • Education providers
  • Other internal Coventry City Council areas
  • Other persons or agencies working with you and/or your family - for the purposes of this project.

How long will we keep your information?

We will only keep your information depending on your circumstances we will either retain records until your 25th birthday, or if you are Looked After, have Special Educational Needs, or are Adopted, in which case we retain records until the end of the academic year in which your 31st birthday occurs, so we can give you the service you need unless we must keep it for legal reasons.

Your Rights

You have the right to:

  1. Ask to see the personal information we hold about you.
  2. Withdraw consent (see below)
  3. Ask us to change information we hold about you if it is wrong.
  4. Ask us to delete the information we recorded.
  5. Ask us to limit the way we use your personal Information.
  6. Complain to the Information Commissioner’s Office

Withdrawal of Consent

Where personal data is processed based on consent, you will have the right to withdraw that consent at any time. However, Coventry City Council process personal data that it is necessary to do so to comply with our legal obligations (e.g., for safeguarding reasons)

Complaints

You have the right to submit a complaint if you are unhappy with the way your request is handled or disagree with a decision made by the council regarding your data.  In these circumstances you can contact the Data Protection Team (DPO) and request a review of the decision; dpoteam@coventry.gov.uk
