Coventry City Council Complies with the Data Protection Act and the UK GDPR and is registered with the Information Commissioner’s Office (ICO) as a Data Controller. This Privacy Notice explains how we will use your personal information, what for, who it will be shared with and why.

Why we collect and use Personal Data about you

We collect and hold personal information related to your lived experience of life and health as a first, second or third-generation migrant.

We use this information to:

  • produce a case study that will used in Coventry City Council’s Director of Public Health Report which will be published online
  • schedule your interview and photography appointments for creating the case studies
  • send you a copy of your case study to review and check for accuracy
  • raise awareness of the health needs and perspectives of the wider migrant population in Coventry
  • for publicity, advertising, and social media promotion if you have provided consent
  • help us to develop and improve our services (e.g. commissioning services)
  • help to commission new services with organisations such as the NHS

We process personal data because it is necessary to comply with our legal obligations and perform our public tasks.

We use consent as the legal basis for the interviews, case studies and photographs. Participation is voluntary and you may withdraw consent at any point.

What information do we collect about you?

  • Full name
  • Age
  • Gender
  • Ethnicity
  • Religion
  • Contact details i.e. Name, address, email address.
  • Nationality
  • Country of origin or birth
  • Arrival date in the UK and length of time in Coventry

Who we share your personal data with

We will share your personal information with:

  • Coventry Interpretation and Translation Unit (CITU) if you require support from a professional interpreter at your interview.
  • the Council’s Communications Team who will be taking your photograph. 

How long will we keep your information?

We will only keep your information for as long as we need to so we can give you the service you need unless we must keep it for legal reasons.

  • Audio recording of interview – The audio recording will be deleted as soon as a transcript of the interview has been accurately produced.  
  • Case study and portrait photograph – The public health report containing your case study and photograph will be published online. You can withdraw consent for this at any time. For the purpose of creating the report, your personal details and photograph will be retained for six years from the date of publishing the report.
  • Other personal information – We will keep this information for six years from the creation date, or until our legal obligation is complete.

Your rights

You have the right to:

  1. Ask to see the personal information we hold about you.
  2. Withdraw consent (to the use of your Case Study and portrait photograph).
  3. Ask us to change the information we hold about you if it is wrong.
  4. Ask us to delete the information we hold about you.
  5. Ask us to limit the way we use your personal Information.
  6. Complain to the Information Commissioner’s Office.

Withdrawal of consent

Complaints

You have the right to submit a complaint if you are unhappy with the way your request is handled or disagree with a decision made by the council regarding your data. In these circumstances, you can contact the Data Protection Team (DPO) and request a review of the decision.
