We collect and hold the personal information that Time Union members submit via our online application form. We do this in order to run Time Union efficiently and to uphold our quality standards.

We use this information to:

  • Send Time Union members a monthly newsletter
  • Contact Time Union members about potential skill exchanges
  • Invite Time Union members to Time Union events or opportunities
  • Help us to develop and improve Time Union.

  • Gender
  • Photograph of you (should you agree to this in the online application form)

  • What you are interested in sharing through Time Union
  • What you are interested in receiving through Time Union
  • How you found out about Time Union
  • Criminal record
  • Whether you work at Coventry City Council or are a student at Warwick University or Coventry University
  • Nationality
  • Ethnicity
  • Occupation
  • Anything else you have submitted in the online application form

Who we share your personal data with

We will share your email address or telephone number with other members of Time Union under specific circumstances:

  • When we are organising skill exchanges for you and another member (you will be asked before we do this).
  • During Microsoft Teams meetings (your email address and the name you have inputted to join the call may be visible to other Time Union members).

How long will we keep your information?

We will only keep your information for as long as you are a member of Time Union. Should you wish to stop being a member you can email TimeUnion.ThePod@coventry.gov.uk to request deletion of your account.

Your rights

You have the right to:

  1. Ask to see the personal information we hold about you
  2. Ask us to change information we hold about you if it is wrong
  3. Ask us to limit the way we use your personal information
  4. Complain to the Information Commissioner’s Office

Complaints

You have the right to submit a complaint if you are unhappy with the way your request is handled or disagree with a decision made by the council regarding your data. In these circumstances, you can contact the Data Protection Team (DPO) and request a review of the decision.
