Coventry City Council complies with the Data Protection Act and the UK GDPR and is registered with the Information Commissioner’s Office (ICO) as a Data Controller. This Privacy Notice explains how personal information is going to be used, what for, who it will be shared with and why.

Why we collect and use personal data about you

We will collect and hold personal information about you so that we can provide information about places in Coventry that provide a warm welcome and open access to their community places. These will be places where people will have access to information, support, or take part in social activities. We will use this information to populate a map located on the Council website.  

Your personal data will be used for: 

  • Help us to stay in touch with you about your community space to ensure that the map is initially populated and remains as up-to-date as possible
  • Complete statistical reports 

Our lawful basis for processing the data is that of Consent. 

What information do we collect about you?

  • Your name
  • Contact email address (in case we need to check some information you have provided and to periodically check that you want the venue to remain published on the map)
  • Details of the venue being added to the search map
    • Venue name
    • Venue address
    • Venue postcode
    • Information about activities on offer
    • Opening times
    • Venue/Organisation website
    • Venue/Organisation social media details

Who we share your personal data with

We will share data with:

  • Other relevant teams within Coventry City Council for operational purposes
  • Emergency services and contacts for health and safety/emergency purposes

How long will we keep your information?

We will only keep your information for the purposes of this privacy notice so we can provide the service needed unless we must keep it for legal reasons. Most venues are offering a warm welcome throughout the year so the public will be using the map all year round.  However, if your venue is only offering a warm welcome during the winter months you will need to let us know when the service ends so we can remove your details from the map.   

Your rights

You have the right to:

  1. Ask to see the personal information we hold about you
  2. Withdraw consent (see below)
  3. Ask us to change information we hold about you if it is wrong
  4. Ask us to delete the information we hold about you
  5. Ask us to limit the way we use your personal information
  6. Ask for human intervention regarding decisions made about you by a computer
  7. Data portability (have your data transferred to another Authority)
  8. Complain to the Information Commissioner’s Office

Withdrawal of Consent

Where personal data is processed on the basis of consent, you will have the right to withdraw that consent. However, Coventry City Council processes personal data that it is necessary to do so in order to comply with our legal obligations and to enable us to perform tasks carried out in the public interest. 

Complaints

You have the right to submit a complaint if you are unhappy with the way your request is handled or disagree with a decision made by the council regarding your data. In these circumstances, you can contact the Data Protection Team (DPO) and request a review of the decision.
