Sustainable Warmth competition (Coventry wide scheme) privacy notice

Coventry City Council complies with the Data Protection Act and the UK GDPR and is registered with the Information Commissioner’s Office (ICO) as a Data Controller.

This Privacy Notice explains how personal information is going to be used, what for, who it will be shared with and why.

Why we collect and use Personal Data about you

We collect and hold personal information relating to your participation in the Sustainable Warmth Competition, delivered by Coventry City Council and administered by the Midlands Net Zero Hub. The scheme is funded by the Department of Business, Energy and Industrial Strategy (BEIS).

We use your information to:

  • Comply with our funding requirements and to provide reporting on the Scheme to the funding provider BEIS
  • Complete scheme auditing and to detect fraud and multiple grant claims
  • Support the delivery of energy efficiency installs to your property
  • Confirm your eligibility for the scheme

We process personal data because it is necessary to comply with our legal obligations and our lawful basis is Public Task.

Your personal details may be passed on to BEIS so that their third party contractor can contact you about the scheme for monitoring and evaluation purposes HOWEVER, we will only do so with your explicit consent so;

this processing will be under the lawful basis of consent.

What information do we collect about you?

In order to deliver energy efficiency improvements, it is necessary for us to process the following personal information:

If you are a customer

  • Address and details of property receiving the energy efficiency or low-carbon heating installation(s) under the Scheme
  • Details about the installation(s) installed at the property under the Scheme, including type, size and cost
  • Contact address (if not the property receiving the installation(s))
  • Address and details of property offered, but not receiving, installation(s) under the Scheme
  • Your name
  • Household income and any other scheme eligibility information
  • Any financial contribution you have made towards the installation(s) under the Scheme
  • SAP or RdSAP assessments with scores
  • Email address (optional)
  • Phone number (optional)

If you are an installer

  • Your name
  • Relevant accreditation and registration information
  • Contact address
  • Email address
  • Phone number
  • Details of installations delivered under the Scheme
  • Whether directly contracted or sub-contracted to install installations under the Scheme
  • The number of employees in your organisation

Who we share your personal Data with

We will share data with:

  • the Department for Business, Energy and Industrial Strategy (BEIS),
  • Midlands Net Zero Hub
  • Act on Energy
  • E.ON Energy Solutions and their subcontractors

We will not normally share your information with organisations other than our partner organisations without your consent, however, there may be certain circumstances where we would share without consent such as where we are required to do so by law, to safeguard public safety, and in risk of harm or emergency situations. Any information which is shared will only be shared on a need to know basis, with appropriate individuals. Only the minimum information for the purpose will be shared.

BEIS may also share your data with

  • its delivery partners and contractors,
  • their data processors Microsoft and Amazon Web Services
  • Ofgem and delivery partners of central and local government home energy schemes such as the Energy Company Obligation and Renewable Heat Incentive
  • other Government departments where necessary

How long will we keep your information?

We will only keep your information for as long as we need to so we can give you the service you need unless we must keep it for legal reasons. We will store your personal data for 6 months after the end of the scheme.

Your rights

You have the right to:

  1. Ask to see the personal information we hold about you
  2. Withdraw consent (see below)
  3. Ask us to change information we hold about you if it is wrong
  4. Ask us to delete the information we hold about you
  5. Ask us to limit the way we use your personal Information
  6. Ask for human intervention regarding decisions made about you by a computer
  7. Data portability (have your data transferred to another Authority)
  8. Complain to the Information Commissioner’s Office

Withdrawal of consent

Where personal data is processed on the basis of consent, you will have the right to withdraw that consent. However Coventry City Council process personal data that it is necessary to do so in order to comply with our legal obligations and to enable us to perform tasks carried out in the public interest.

Complaints

You have the right to submit a complaint if you are unhappy with the way your request is handled or disagree with a decision made by the council regarding your data.
