Good practice when shortlisting 

Once the closing date for your job vacancy has passed, you can begin shortlisting the applications received. A fair, consistent, and evidence-based shortlisting process will help you identify the candidates who most closely meet the requirements of the role.

  • Involve at least two people in the shortlisting process
  • Wherever possible, those shortlisting applications should also be members of the interview panel
  • Use a shortlisting score sheet based on the essential criteria set out in the Job Description and Person Specification 
  • Assess each applicant solely against the information provided in their application form
  • Do not introduce or assess applicants against additional criteria that were not included in the application form or recruitment information
  • It is a good idea to use a simple numerical scoring system to support consistent and transparent decision-making
  • Consider weighting criteria that are particularly important to the role. For example, holding an approved Level 3 qualification may be an essential requirement for the role 
  • Keep clear records of scores and decisions, including the reasons why applicants have or have not been shortlisted
